Upcoming Microsoft 365 Subscription Pricing and Billing Changes – What You Need to Know

As part of Microsoft’s ongoing efforts to align its pricing and billing structure across all sales channels, important changes are coming to Microsoft 365, Teams Phone, and Power BI subscriptions, effective April 1, 2025. Whether your organization uses Microsoft 365 through the Cloud Solution Provider (CSP) program, Microsoft Online (Web Direct), or Microsoft Customer Agreement (MCA-E), these updates will impact how your organization is billed and the pricing of several key services.

We’ve summarized the most important details below to help you plan ahead.

Key Changes Coming April 1, 2025

1. Standardized Billing Structure with 5% Increase for Monthly Billed Annual Subscriptions

To provide consistent pricing across channels, Microsoft is introducing a 5% price increase on monthly billing plans for annual term subscriptions. This applies to all Microsoft 365, Office 365, Power Platform, Dynamics 365, and other online services.

  • Customers who choose annual upfront billing will continue to receive the lower rate.
  • This change affects new purchases and renewals beginning on April 1, 2025.

2. Price Updates for Microsoft Teams Phone and Power BI

Several Microsoft services will also see updated pricing at renewal after April 1, 2025. These include:

ServiceNew Price (Annual Billing)Teams Phone Standard$10 per user/month ($120 per user/year)Power BI Pro$14 per user/monthPower BI Premium Per User (PPU)$24 per user/month

  • Monthly billing for annual subscriptions will be 5% higher than the above rates.
  • These prices reflect the ongoing innovation and feature enhancements Microsoft has delivered across these platforms.

3. New Monthly Billing Option for Microsoft 365 Copilot Annual Subscriptions

For organizations interested in Microsoft 365 Copilot, Microsoft introduced a monthly billing option for annual subscriptions in December 2024.

  • Customers can commit to an annual subscription and pay monthly, or choose annual upfront billing at a 5% discount.
  • This flexibility helps organizations align Copilot costs with their monthly cash flow needs.

4. Important Changes for End-of-Sale (EOS) Microsoft 365/Office 365 Enterprise Suites with Teams

For customers with Microsoft 365/Office 365 E1, E3, and E5 suites that include Teams (now End-of-Sale), Microsoft is introducing the following options:

  • Customers can switch from monthly billing to annual upfront billing at renewal to retain their suites with Teams.
  • After April 1, 2025, new purchases of these legacy suites will no longer be available, and customers must manage renewals carefully to retain existing licenses.

What This Means for Your Organization

  • Review Your Billing Preferences: If you currently use monthly billing for annual subscriptions, you may want to consider switching to annual upfront billing at your next renewal to avoid the 5% premium.
  • Budget for Price Changes: Plan for the new pricing on Teams Phone, Power BI, and other Microsoft services starting in April 2025.
  • Talk to Your Partner: If you purchase your Microsoft licenses through a CSP partner, your partner can help you review your current subscriptions and recommend the most cost-effective options.

Why Is Microsoft Making These Changes?

Microsoft’s goal is to simplify licensing, provide consistent pricing across channels, and continue to deliver value through innovation. These changes reflect the significant enhancements made to Microsoft services over the years, including new features, enhanced security, and AI-powered capabilities.

Timeline and Next Steps

  • These changes go into effect on April 1, 2025.
  • Existing subscriptions will continue at their current rates until their next renewal after April 1, 2025.
  • Customers can choose to switch to annual upfront billing at their next renewal to avoid the 5% monthly billing premium.
